Application Tracker

The tracker is a kanban board of your hiring processes: one card per vacancy, columns are stages. Copilot meetings are attached to cards, and their summaries give the card an AI verdict: average success rate, weak topics and recommendations.

Columns

Each column has a type, and statistics and reminders depend on it:

• Stage: the process is ongoing. Idle cards are highlighted and get reminders.
• Offer: an outcome and the last step of the funnel. No reminders, and these columns are preselected in the offer comparison.
• Rejection: an outcome outside the funnel; the rejection is counted at the stage the card was moved from. No reminders.

The funnel in the statistics shows how many processes reached a stage or went further, so the column order matters.

"Archive all" in the column menu archives all of its cards at once, for example to clear "Rejected". Cards come back from the archive one by one. A column that still has archived cards can be deleted only after moving them to another column: that's where they'll return from the archive.

Card

Next step is the date, time and name of the upcoming stage. Until that date the card doesn't count as idle, and after it the idle time is counted from the step date. A past date is highlighted in red until you update it.

Salary range is entered as numbers with a currency, and the offer comparison is sorted by it. "Fill in from the link" copies the hh.ru vacancy data into the card's empty fields and leaves filled ones alone. There's no such button for links to other sites.

"Details" opens the full card: its fields, AI verdict, mock practice and history of when the card was created, moved between stages and had meetings attached.

"Prepare" opens a mock interview for this process: based on the vacancy, the stage and the weak topics from the card's meetings. Mocks for the process are shown on the card under "Mock practice" and don't affect the AI verdict.

Meetings and cards

A meeting with a vacancy lands on the board on its own: the card is found by the vacancy link or created. If the process is already in the tracker, pick it under "Tracker process" in the vacancy window when creating the meeting: the meeting is attached to that card and takes the vacancy from it unless you entered your own.

"New meeting" in the card menu creates a meeting already attached to the process.

The summary of a meeting attached to a card shows a process chip: from it you can open the card or move it to another stage.

Telegram reminders

Reminders come from the bot if Telegram is linked and reminders are on in the tracker settings.

• Idle: a card in a stage column has had no activity for longer than the threshold in the settings.
• Next step: 24 hours and 2 hours before the step date. If the date was set shortly before the step, a reminder that would arrive almost immediately isn't sent.

Idle and 24-hour reminders arrive only in the daytime, 10:00 to 21:00 Moscow time; the 2-hour reminder can come at any time. Archived cards and cards in "Rejection" type columns get no reminders.

Adding cards

• "Add to tracker" on a vacancy page of the sobes.tech job board, in bookmarks and on sent hh.ru and GetMatch responses puts the vacancy in the first stage column. If a card with that link is already on the board, no second one appears. Archived cards don't count: applying to the same vacancy again becomes a new process.
• If during sign-up you mark that an interview is already scheduled and enter a vacancy link or a company, the card appears on its own, and with the interview date it already has the next step.
